Tiny Solutions

Case management for New York State Early Intervention agencies, from first referral to discharge.

Early Intervention agencies coordinate therapy for infants and toddlers with developmental delays: referrals, child records, authorizations, sessions and billing.

Tiny Solutions is the agency's working record. One child record carries a family from the first phone call through intake, services, session notes and billing, while the state's EI Hub keeps the official copy.

Why it exists

An Early Intervention agency usually learns about a child when the state's EI Hub assigns the work. From then on, a coordinator is watching deadlines, a provider is writing session notes and a biller is trying to get every session paid.

Claims fail for small reasons: an unsigned note, a date the authorization doesn't cover, units that don't match. Tiny Solutions keeps the whole chain in one place, so those get caught before a claim goes out.

Try it

A referral becomes an active case only when the intake gate passes. This is an illustrative prototype built for this site with fictional data, not the product itself.

One run through it

  1. Start from the paperwork

A coordinator drops a referral or IFSP PDF into New child and checks the fields beside the document.

  2. Work the list

The worklist shows the days left on each child, with late children first.

  3. Sign the session

The provider signs a session note, and the parent signs the service log.

  4. Turn notes into claims

Signed notes become claims. Anything that would fail gets held back.

  5. Send and follow up

The biller uploads the file to EI Hub, then works denials and payments from the same place.

What it does

  • A record that graduates in place

A referral is a state of the child record, not a separate form, so nothing is retyped when intake completes.

  • An intake gate

Insurance and required consents have to be on file before a referral can become an active case.

  • A worklist ordered by next action

Coordinators open the day to the children who need something now, with search, saved views and a command palette.

  • Services through billing

Authorizations, session notes, documents, claims, remittances and payroll worksheets live in one system.

  • Roles and audit

Owner, admin, member and billing roles, and an audit history on every record.

Why it's built this way

  • Built around EI Hub

The state's system stays the system of record. Tiny Solutions is where the daily work happens, and billers upload the finished claim file to EI Hub.

  • Units and billing are separate counts

A missed session uses up an authorized unit but bills nothing. A make-up session bills but uses no unit. One number can't do both jobs, so the system keeps two.

  • An assistant that asks first

Tiny Agent proposes changes, and nothing happens until a person approves them.

How it fits together

  1. 01A Next.js web app with a Convex backend, so worklists and records update live.
  2. 02Each agency's data is kept separate, with sign-in and roles per organization.
